CampusHire

Privacy Policy

Last updated:

CampusHire is a student placement portal for campus drives, off-campus opportunities, research openings, and application tracking. This policy describes information handled when you use the student portal.

Information we collect

We collect account and profile information you provide, including your name, email address, phone number, department, graduation year, academic details, professional profile links, and profile photo. Uploaded resumes, extracted resume text, applications, and placement progress are also stored to provide the service. Password-based accounts use a stored password hash.

Google sign-in and session cookies

If you choose Google sign-in, we verify your Google identity token and use your email address, verification status, name, and profile picture to create or authenticate your account. This sign-in flow does not request access to Gmail messages, Google Drive files, or Google Calendar. CampusHire uses a session cookie to keep you signed in; signing out clears the browser session.

How information is used

Your information supports account verification, profile management, drive eligibility checks, applications, hiring-stage updates, notifications, and placement reporting. Resume content may be used to generate job-match scores and explanations.

AI matching and service providers

Where embedding-based matching is enabled, resume text may be processed by Google Gemini. If you configure an AI provider and request job rankings, extracted resume text and job details are sent to your selected provider: OpenAI, Google Gemini, or Groq. Provider API keys you save are encrypted on the server. Avoid including information in your resume that you do not want processed for matching. Each provider handles submitted data under its own terms and privacy policy.

CampusHire also uses infrastructure services for database storage, caching, email delivery, and file hosting, including MongoDB, Redis where configured, and Cloudinary for uploads. Those services process the information needed for their functions.

Access and sharing

Authorized placement staff can access student profiles, resumes, applications, and placement information for the opportunities they manage, subject to their assigned roles. Information submitted for an opportunity may be shared with the relevant recruiting team as part of the placement process. Following an external job link takes you to a separate service with its own privacy practices.

Storage, retention, and your choices

Account, resume, and application records are stored to support the portal and placement administration. You can update editable profile fields, replace your resume, and manage saved AI provider connections in the portal. For account deletion, access to stored information, corrections you cannot make yourself, or questions about retention, contact your institution's placement office or the administrator who provided your CampusHire access. Some application and placement records may need to be retained for institutional recordkeeping; the administrator can explain what applies.

Uploaded files are hosted by a file-storage provider. Treat resume and photo links as sensitive and share them only with intended recipients. No online storage or transmission system can guarantee absolute security.

Questions and policy updates
